The readymade and proven resources of our project management office (PMO) toolkit help our clients to focus on the deliverables of their digital transformation programmes.

Heather Payne, a Project Support Officer from our delivery team, explains how she uses our PMO toolkit to support healthcare organisations to get the best results from their change projects.

Project Support Officer, Heather Payne

We recently worked with North Northants Family Hubs to develop an insight-led communications and engagement strategy and delivery plan to support the rollout of its new service.

The project had a small and fixed budget, so our work had to be delivered within defined financial parameters. It was task-orientated with a very clear focus on delivering a very clear set of objectives.

I used our PMO toolkit to manage the programme and save the client vital time and resources by enabling its team to hit the ground running with a clear focus on project deliverables not project management processes.

Increasing efficiency with our PMO toolkit

We pride ourselves on providing our clients with a bespoke project management approach for their projects. But that doesn’t mean that we reinvent the wheel every time.

At Ethical Healthcare, our priority is to make a positive and meaningful social impact, working with integrity, honesty and transparency. It’s not in our DNA to recommend solutions that clients don’t need. We’re happy for them to use the ones we’ve already perfected.

Our delivery team has developed its own PMO toolkit that includes everything needed to manage digital transformation projects in the healthcare sector. It features a menu of project management tools that can be selected to suit the project at hand, providing a tailored solution from a proven catalogue of resources.

Saving time and improving performance

Using the toolkit, I was able to set up project management templates for the North Northants Family Hubs team to review and edit in under an hour – and followed those with readymade task-tracking and risk management resources.

The other features of the toolkit provided a range of additional time-saving and performance-improving benefits to the client:

  • No training required: The PMO toolkit is built in Microsoft Office 365. Anyone with a Microsoft account can use it and there is very little training required as users are so familiar with the Microsoft environment.
  • No system demos or licences: By using Microsoft Office 365, the client also avoided spending time on system demos or training and didn’t have the costs of additional licences to factor into its project budget.
  • Staying on track: Our weekly check-ins were extremely productive as both the project management and client teams had access to up-to-date information in the PMO.
  • Easy updates: When the Senior Reporting Owner (SRO) required project updates, I was able to share the relevant information quickly and easily through the PMO. The streamlined design of the PMO allowed me to update information in minutes, giving the SRO an accurate view of the project status without bulky downloads or system logins.

By using the PMO, our clients get all of the knowledge and experience of our delivery experts channelled through the specific project management tools they need to complete their project.

It gives them the time and space to focus on the project deliverables – and enables me to handle project management tasks efficiently and seamlessly.
